The Visit Mountaineer Country Convention and Visitors Bureau seeks to create a positive economic impact on the Mountaineer Country area. Their goals are to inform, educate, and advise visitors on where to eat, play, shop, stay, and more.

History

Visit Mountaineer Country Convention and Visitors Bureau is the largest destination marketing organization in North Central West Virginia with close to half a million users visiting their website every year. The organization looks to increase the tourism economy by marketing and selling the destination to guests with the ultimate goal of “wowing” them and encouraging them to stay one more night.

Challenge

Like many industries, the travel and hospitality industry was heavily impacted by the COVID-19 pandemic. In Morgantown, West Virginia, this was felt most acutely by the Visit Mountaineer Country Convention and Visitors Bureau, the primary driver of travel marketing to potential area visitors.

The pandemic forced Susan Riddle, President & CEO, and the rest of the Visit Mountaineer team to pivot and change strategy–at a time of reduced staffing. To remain productive with a smaller team and a bigger challenge, Riddle began searching for tools that would help her streamline communication with her staff and to the organization’s Board of Directors.

“Everybody’s being asked to do so much more, with so much less, in a very, not just nontraditional, but almost unsettled environment,” Riddle explained. “Trying to get in front of people to get an hour’s worth of their time, even if it’s only once a month, is really difficult now.”

Solution

Susan’s goals were clear: how to get more from her board and reduce staff without burning them out or costing too many resources. When she found Boardable, it was the perfect solution.

From creating discussion items in Boardable instead of sending emails to having a designated place to store meeting minutes, Visit Mountaineer Country found numerous ways to streamline operations when needed to maximize efficiency the most.

Instead of having one user take minutes on a Word document, Riddle can assign a staff member to take minutes visible to board members in real time without needing to share a document back and forth. My agendas are much more comprehensive in that they included a lot more information so that board members can be better prepared. The minutes can be taken almost with your eyes closed because most of the content is already there.

Additionally, Susan and her team can attach the minutes from the last meeting to each meeting, meaning that her board members have everything at their fingertips when they need it. The result? A more engaged board and effective team. Susan, her team, and the Board of Directors have collectively spent over 20,000 minutes in Boardable in 2021.
